Crystallography Outlook Configuration
This guide assumes that you are using Outlook 2003. If you are
using older versions of Outlook, the configuration and set-up is
broadly similar but certain menu options etc. may be found in different
places.
To configure Outlook to access your Crystallography e-mail
account,
work through the following steps:
- Launch Outlook.
- In the Startup Wizard that appears, click Next and
in the following
screen, ensure that Yes is selected and click Next
again.
- On the Server Types screen, select IMAP and click Next.
- On the next screen, supply your full name and e-mail
address (e.g. Joe Bloggs and j.bloggs@mail.cryst.bbk.ac.uk)
in the User Information
section.
- Type imap-ext.cryst.bbk.ac.uk
in the Incoming mail server field and type smtp-ext.cryst.bbk.ac.uk
in the Outgoing mail server field in the Server Information
section.
- Type your Crystallography login (e.g.
ubcgzx7) in password into the User Name and Password
fields
in the Logon Information section. If you want Outlook to remember your
password,
you can also tick the Remember password box.
- Click Next and, in the final screen, click Finish.
- Finally, you should consider configuring Outlook to delete
messages identified as spam automatically. Select Tools -> Rules
and Alerts... from the menu bar.
- Click on the New Rule... button.
- At the top of the dialog box that appears, select Start
from a blank rule
and then in the space below, select Check messages when they arrive.
- Click Next.
- In the next screen, tick the box adjacent to the text with
specific words in the subject. Then, in the space at the bottom of
the screen, click on the underlined
specific words text.
- In the dialog that pops up, type {Spam?} in the top
field and click the Add button.
- Click OK to close the dialog and then click Next
on the main Rules Wizard screen.
- In the next screen of the wizard, tick the box marked delete
it in the top section and click Finish.
- Click OK to close the Rules and Alerts window.
You can now begin using Outlook to read and send e-mail via
